Define the map's scope first
A geographic base map is useful for outdoor venues, the area around a venue or an event across several buildings. Precise indoor booths, rooms and floor plans require organizer-supplied plans. Road data alone cannot generate a reliable indoor exhibition layout or establish exact booth dimensions.
List attendee check-in, ticketing, entrances, stages, meeting points, help desks and transport stops. Maintain frequently changing schedules separately from stable location names. Short labels keep the map readable; a program or information page can carry the fuller event details.
Verify temporary facilities and attendee flow
Create and review the venue base map, then add confirmed temporary locations and labels. Fences, queues, closed paths, construction areas and changed entrances need information from the event team. Satellite imagery may predate the event and should not be treated as a current operations plan.
Distinguish public, staff and vehicle access. Have the responsible teams review accessible routes, emergency access and capacity restrictions. A visitor map communicates the reviewed plan; it does not replace event safety planning or professional approval of operational routes.
Make the published version clear
Label the deliverable with the event name, applicable dates and version. Use the same entrances, legend and location names across brochures, on-site boards and online images. When a location changes, check every published version rather than correcting only the master drawing.
Test the map on an actual phone and at its intended paper size. Pay particular attention to check-in, toilets, first aid and exit routes. After exporting SVG, PNG or PDF, complete the layout requirements agreed with the production team and approve a final proof.
Common questions
Can it automatically generate a precise indoor booth plan?
A geographic base map is not an indoor floor plan. Exact booths and floors require supplied plans; complex dimensional or engineering layouts need an appropriate professional tool.
Can I reuse the map for another event?
You can continue editing a saved map, but recheck entrances, temporary facilities, names, dates and access arrangements before publishing a new version.
